This Privacy Policy explains how Arena of Esports collects, uses and protects personal information when users visit the website, create accounts, create player cards, join events, use community tools or communicate with the AOE team.

2. Information We Collect

We collect information that users provide and technical information needed to run the platform.

  • Account and authentication data: email address, password hash, login sessions, account role, password-reset tokens and timestamps.
  • Profile data: gamertag, platform, gender, country, city, WhatsApp number and timezone.
  • Player-card data: card type, PSN/Gamertag, avatar, country, city, public social links, approval status, admin notes, market value, division, wins, losses, titles and related statistics.
  • Event and tournament data: event registrations, pre-registration status, check-in status, tournament participation, results, prize pool snapshots and event-related admin decisions.
  • Club and team data: team name, short name, country, city, description, crest, roles, recruiting information, trial requests, WhatsApp contact details and messages submitted for trial requests.
  • Uploads and user content: avatars, club crests, event images, winner posters, social-media handles, private match-result evidence, veto evidence and other information submitted for public display or admin review.
  • Support and admin communication data: inbox messages, read status, support requests, change requests, review notes and moderation decisions.
  • Website analytics and security data: visited path, referrer, browser user agent, hashed IP address, approximate geo country or city when provided by infrastructure, visitor presence and heartbeat events.
  • Marketing consent data: whether marketing cookies and Meta Pixel tracking have been accepted or rejected.
  • Prize payout data: payout or banking details may be requested from winners when needed to pay prize money after tournament review.

3. How We Use Data

  • To operate the Transfer Market, club/team tools and community features.
  • To manage event pre-registration, tournament-day check-in and event operations.
  • To verify match results, review vetoes and resolve competition-integrity cases.
  • To review submissions, prevent abuse, enforce rules and moderate content.
  • To send support, admin and tournament-related messages.
  • To process prize-money payouts, accounting and required verification where applicable.
  • To measure site usage, improve performance and protect the platform.
  • To run Meta Pixel and Meta Conversions API marketing measurement only after marketing consent is granted.

4. Public Visibility

Some submitted data is intended to be public after consent and admin approval. This may include player-card details, avatars, country, city, public social links, market value, statistics, club-team information, team crests and past-event winner or ranking information. Private account information such as email, password hash and WhatsApp numbers is not shown publicly unless a user deliberately includes it in public content. Match-result, veto, technical, conduct and payout evidence is private and is available only to authorized participants or administrators when required for the relevant workflow.

5. Cookies and Tracking

We use essential browser storage for login, security and consent choices. The marketing consent choice is stored as aoe_marketing_consentin localStorage and/or a cookie. Meta Pixel is loaded and Meta Conversions API registration events are sent only when marketing consent is granted and server-side marketing measurement is configured. Users can accept or reject marketing tracking in the cookie banner and can also manage browser cookie settings.

6. Sharing With Service Providers

We may share or process data with service providers that help us run the platform, including hosting, database, object storage, email or communication services, analytics and marketing tools after consent, security services, payment or banking partners for prize payouts, and professional advisors when required. We may also disclose information when required by law, to protect users, or to investigate fraud, abuse or security incidents.

7. Data Security

We use technical and organizational measures to protect data, including hashed passwords, access controls, rate limits, upload checks and security headers. No internet service can guarantee absolute security, but we work to reduce risk and respond to security issues.

8. Retention and Account Deletion

We keep data for as long as needed to provide the platform, operate tournaments, protect security, handle disputes, process prize payouts, maintain accounting records and comply with legal obligations. Users can request deletion through our account deletion page. Where full deletion is not possible, records may be retained in limited form or anonymized for legal, accounting, security or tournament-integrity reasons.

Unless a longer period is required for an active dispute, legal obligation or legal hold, ordinary match-result evidence is deleted 90 days after the final decision. Veto, technical, conduct, integrity and prize-payment evidence is deleted 180 days after the related case is closed. A legal hold pauses the applicable deletion period until the hold is released.

9. User Rights and Choices

Depending on applicable law, users may request access, correction, deletion, restriction or objection to certain processing. Users can also update account and player-card details through available platform tools or contact support.

10. Mobile Apps and Shared Platform

Arena of Esports may offer website, iOS and Android app experiences using the same account, backend systems and database. Data submitted through one surface may be visible in another surface when it belongs to the same account or public player-card profile.

11. Children

Our services are not intended for children under 13 years old. We do not knowingly collect personal data from children under 13. If we become aware that such data has been collected, we will take appropriate steps to delete it.

12. International Processing

Arena of Esports, Inc. is based in the United States, and data may be stored or processed in the United States or other locations where our service providers operate.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Updates are posted on this page and take effect when published unless stated otherwise.
